User Manual
Reamind is an educational management platform built for tuition centers. It helps teachers create and manage tests, track student performance, and run live classroom sessions — all from one place.
1. Getting Started
How Students Log In
Students do not use email and password. Instead, they use access codes provided by their teacher.
- Go to the student login page.
- Enter the 6-character access code your teacher gave you (e.g. ABC123).
- Select your name from the class roster, or enter your name as a guest.
- You will be taken to your student dashboard.
Students can also receive a direct link from their teacher that takes them straight to a specific test.
How Teachers & Center Admins Log In
- Go to the sign-in page.
- Enter your email and password.
- You will be redirected to the center dashboard.
First time? Go to the sign-up page and choose:
- Create New Center — if you are setting up a new tuition center.
- Join Existing Center — if your admin gave you an invite code.
Forgot your password? Use the "Forgot Password" link on the sign-in page. You will receive a reset email.
How the Boss Logs In
The Boss uses the same email/password login as teachers. After signing in, users with admin privileges are redirected to the Boss dashboard. Certain actions require an additional PIN verification for security.
2. Student Guide
2.1 Dashboard
When you log in, you land on your dashboard. It shows:
- Welcome message with your first name.
- Pending tasks — a count of assignments and tests that are due soon.
- Your courses — a grid of classes you are enrolled in, each showing your progress percentage and the next deadline.
- Recent activity — your last 3 graded assignments with scores.
2.2 My Classes
The My Classes page lists all your enrolled classes. Click any class to see its details, assignments, and materials.
2.3 Multi-Center Support
If you attend classes at multiple centers, use the Center Switcher in the sidebar to switch between them. Each center shows its own classes, assignments, and reports.
2.4 Taking a Test (Self-Paced)
- Your teacher will give you an access code or a direct link.
- Enter the code on the student login page.
- Select your name from the list (or type it in if you are joining as a guest).
- You will see the test interface:
- Questions appear one at a time.
- Use the numbered bubbles at the top to jump between questions.
- A progress bar shows how many you have answered.
- Select your answer (A, B, C, or D) for each question.
- Use Previous and Next to navigate.
- On the last question, click Submit.
- If your teacher has enabled it, you will see your results immediately.
2.5 Joining a Live Session
- Your teacher will display a join code in class.
- Go to the live session page and enter the 6-character code.
- Enter the password if your teacher set one.
- Select your name from the roster.
- Wait in the lobby until your teacher starts the session.
- Answer the questions as they appear.
- When the session ends, you may see your results (if enabled).
2.6 Viewing Results & Reports
Go to My Reports from the sidebar. You will see:
- Summary cards — total tests, average score, and trend indicator.
- Test Reports tab — every test with name, class, date, score, and color-coded badge.
- Performance Report tab — monthly view of your performance trends.
Use the Period Selector to filter reports by time range (last 7 days, 30 days, 3 months, or custom).
2.7 Practice (Retry Wrong Answers)
- Go to Practice from the sidebar.
- Choose a topic to filter questions, or practice all wrong answers.
- Start a practice session — it works like a mini-quiz.
- Your practice history is saved so you can track improvement.
2.8 Assignments
- To Do — pending assignments with title, due date, time remaining, and point value.
- Completed — submitted assignments with your grades.
- Click an assignment to view details and submit your work (text, files, or links).
- You will receive a Telegram notification (if connected) when your assignment is graded.
2.9 Materials
The Materials page shows documents, PDFs, and links your teacher has shared. Open any material to view or download it.
2.10 Payment & Invoices
- Payment Status — view your current fee status and outstanding balance.
- Invoices — download invoices generated by your teacher or center admin.
- Payment History — see past payments with dates and amounts.
2.11 Profile & Settings
- My Profile — view your personal information.
- Settings — adjust your account preferences.
3. Teacher / Center Admin Guide
3.1 Dashboard & Onboarding
After signing in, you land on the center dashboard. If you are new, a Setup Guide walks you through five steps:
- Create your first class
- Add students to the class
- Create your first test
- Try submitting a test as a student
- View the analytics
The dashboard also shows:
- Quick actions — buttons to create a test, manage classes, or view analytics.
- Usage overview — how many classes, students, and tests you have used vs. your plan limits.
- Recent tests — your most recently active tests.
3.2 Managing Classes
Creating a Class
- Go to Classes from the sidebar.
- Click Create New Class.
- Enter the class name and subject.
- Save the class.
Adding Students
- Open a class.
- Go to the students section.
- Choose Add Student (manual entry) or Bulk Upload (CSV file).
- Each student receives an access code they can use to log in.
Managing Students
The student table shows every enrolled student with their name, email, access code, and last login. You can edit a student's information (including custom fields) or delete a student from the class.
Topic Groups
Organize your class content into topic groups (units or modules):
- Open a class.
- Go to Topic Groups.
- Add, edit, or delete topic groups.
Topic groups are used when creating tests and appear in analytics breakdowns.
Attendance
- Open a class.
- Click Attendance Dashboard.
- Mark students as present or absent for the day.
- View attendance history.
Assignments & Materials
From within a class, you can:
- Create assignments with a title, description, due date, and optional file attachments.
- Upload materials (PDFs, documents, links) for students to access.
- Share test links directly to students.
- View submissions for each assignment and grade them.
3.3 Creating & Managing Tests
Creating a Test
- Go to Tests from the sidebar.
- Click Create New Test. A step-by-step wizard opens:
- Step 1 — Question Type: Choose the format (e.g. multiple choice).
- Step 2 — Test Details: Enter the test name, select the class, optionally select a topic group, set the number of questions, toggle "Show results to students," choose delivery mode (Online, Paper, or Live), and optionally set an expiration date.
- Step 3 — Questions: Set the correct answer for each question (A, B, C, or D). Tag each question with a topic and a skill. These tags power the analytics.
- Step 4 — Summary: Review everything before creating.
- Click Create. Your test is now ready.
Sharing a Test
After creating a test, open it to find:
- An access code students can type in to start the test.
- A QR code you can display on a screen for students to scan.
- A share link you can send directly.
Editing a Test
Open a test and click Edit to change the test name, question count, delivery mode, or expiration date.
3.4 Live Sessions
Starting a Live Session
- Go to Live Sessions from the sidebar (or click "Start Live Session" from a test page).
- Click Create New Session.
- Select the test you want to use.
- Configure settings: set a password (optional), allow or block late submissions, choose whether to show results.
- A join code is generated.
Running a Live Session
- Display the join code to your class (the session page shows it in large text, suitable for projecting).
- Watch the participant list as students join.
- Click Start Session when you are ready — students can now see and answer questions.
- Use Pause to temporarily halt the session.
- Use Resume to continue.
- Click End Session when done — students see their results (if enabled).
- Monitor real-time submission progress during the session.
3.5 Invoice Generation
Go to Invoices from the sidebar. You can:
- Generate bulk invoices — select a class or multiple students and generate invoices for a billing period.
- Per-student invoices — create an individual invoice for a specific student with custom line items.
- Invoice templates — invoices include center details, student info, itemized fees, and payment instructions.
- Export — download invoices as PDF or share them directly with students.
3.6 Payment Tracking
The Invoices page also tracks payment status:
- View which students have paid, are pending, or are overdue.
- Mark payments as received manually.
- Filter by class, date range, or payment status.
- Export payment reports for accounting.
3.7 Enhanced Attendance Dashboard
The attendance dashboard now includes:
- Heatmap view — a visual grid showing attendance patterns across students and dates.
- Attendance rate cards — overall and per-student attendance percentages.
- Trend analysis — identify students with declining attendance.
3.8 Calendar View
The dashboard includes a Calendar showing upcoming classes, test dates, and assignment deadlines at a glance. Click any date to see scheduled activities.
3.9 Multi-Center Support
If you work at multiple tuition centers, use the Center Switcher in the sidebar to switch between them. Each center has its own classes, students, tests, and analytics. Your personal settings carry across centers.
3.5 Grading
Automatic Grading (Multiple Choice)
Multiple-choice tests are graded automatically when a student submits. The system compares each answer against your answer key, calculates the score, and stores the result. If you enabled "Show results to students," they see their grade immediately.
When a student's assignment is graded, they receive a Telegram notification (if connected) with their score and feedback summary.
Manual Grading (Assignments)
- Open a class and go to the assignment.
- Click View Submissions.
- For each student submission:
- Review the student's work.
- Enter a grade or score.
- Write feedback comments.
- Save the grade.
- The student can then see their grade in their dashboard.
3.6 Analytics
Reamind provides analytics at two levels: per-test and per-class.
Test Analytics
Open a test and click Analytics. You get two tabs:
Class View shows:
- Stats cards — class average, submissions, completion rate, hardest question.
- Radar chart — performance by topic and skill.
- Actionable insights — topic-skill intersections with scores, struggling students, and suggested interventions.
- Topic & skill charts — bar charts of average scores per tag.
- Question difficulty — sorted by hardest or easiest.
- Tag heatmap — student-by-question grid, color-coded by performance.
Test Marks shows a sortable table of students with score, percentage, and grade. You can export analytics as a PDF report or CSV file.
Class Analytics
Go to Analytics from the sidebar, then select a class. Tabs include:
- Overview — class average, student count, at-risk students, test count, and a performance heatmap.
- Class Performance — broken down by topic groups with test-level comparisons.
- Student — individual student scores, strengths/weaknesses, and trends.
- Compare — students vs. class average, topic by topic.
- At-Risk — students below threshold with risk factors.
3.7 Payments & Financials
- Billing — view your plan (Free, Pro, or Premium), usage limits, and manage your subscription.
- Invoices — generate bulk or per-student invoices, track payment status, and export reports.
- Payments — track which students have paid fees. Filter by status and send reminders.
- Class Financials — revenue per class, student payment status, and financial exports.
3.8 Settings
Center Admin Settings
- Center Info — update your center's name and contact information.
- Profile Picture — upload your center's logo.
- Invite Code — share with teachers to join your center.
- Team Management — view teachers, invite new ones, remove, and manage permissions.
- Danger Zone — delete the center (irreversible).
Teacher Settings
Teachers who are not center admins can see center info and manage their personal profile, but cannot manage team or center-level settings.
4. Boss (Owner) Guide
The Boss dashboard gives owners a high-level view of center health. Access requires admin privileges, and sensitive actions need PIN verification.
4.1 Dashboard & Health Score
The main dashboard shows:
- Total students across all centers.
- Risk breakdown — counts of high-risk, medium-risk, and low-risk students.
- Overall health score — an average churn risk percentage with a color indicator (green, yellow, or red) and an interpretation message.
- High-risk student list — sorted by risk level, with name, class, and churn score. Click any student for details.
- Quick actions — links to each analytics module.
- A Refresh button to pull the latest data.
4.2 Period Selector
Use the Period Selector at the top of analytics pages to filter data by time range. Choose from preset ranges (last 7 days, 30 days, 3 months) or set a custom date range. The selected period applies across all analytics modules.
4.3 Delegated Access & Permissions
As a boss, you can delegate per-page access to team members. Go to Settings > Team Management and select which dashboard pages each team member can view. This allows managers or senior teachers to access specific analytics without full admin privileges.
4.4 Churn Risk Analysis
Go to Churn Risk from the sidebar. This page predicts which students are likely to leave, based on:
- Attendance patterns
- Performance trends
- Engagement metrics
You can filter by risk level, export risk reports, and view intervention recommendations for each student.
4.5 Teacher Efficiency
Go to Teacher Efficiency from the sidebar. Metrics include:
- Tests created per teacher
- Number of students managed
- Grading speed
- Class engagement rates
- Side-by-side comparison across teachers
Use this to identify training needs or recognize high-performing teachers.
4.6 Class Profitability
Go to Class Profitability from the sidebar. This shows:
- Revenue per class
- Cost analysis and profit margins
- ROI per class
- Student retention rates
Use this to decide which classes to expand, restructure, or discontinue.
4.7 Evidence Log
Go to Evidence Log from the sidebar. This is an audit trail of key activities including performance milestones, business events, and compliance records. Logs are exportable for record-keeping.
4.8 Meeting Assist
Go to Meeting Assist from the sidebar. Before a meeting, this tool generates a pre-meeting summary, suggested discussion points, action item tracking, and space for post-meeting notes.
4.9 Manual Data Refresh
Click the Refresh button on any analytics page to pull the latest data from all centers. Analytics are calculated from the most recent test submissions and attendance records.
5. FAQ & Tips
For Students
Q: I lost my access code. What do I do?
Ask your teacher for a new access code. They can find it in the class student list or regenerate it from the test page.
Q: I submitted my test but cannot see my score.
Your teacher may have turned off "Show results to students" for that test. Ask your teacher when results will be available.
Q: Can I retake a test?
Only if your teacher allows it. You can use the Practice feature to retry questions you got wrong without affecting your grade.
Q: How do I switch centers?
If you attend multiple centers, use the Center Switcher in the sidebar. Click it to see all your enrolled centers and select the one you want to view.
Q: How do I view my invoices?
Go to Payment from the sidebar. You can see your payment status, download invoices, and view payment history.
Q: The live session says "Waiting." What do I do?
You are in the lobby. Wait for your teacher to start the session. Once they click Start, you will see the questions automatically.
For Teachers / Center Admins
Q: How do students join my test?
Share the 6-character access code, display the QR code, or send the direct link.
Q: Can I add students in bulk?
Yes. Open a class, go to the students section, and use Bulk Upload to import a CSV file.
Q: How do question tags work?
Tag each question with a topic (e.g. "Algebra") and a skill (e.g. "Application"). These power the analytics breakdowns.
Q: Can I export analytics?
Yes. Test analytics can be exported as a PDF report or CSV file. Class analytics also support export.
Q: How do I switch between centers?
Use the Center Switcher in the sidebar. It lists all centers you belong to. Click to switch — each center has its own classes, students, and data.
For the Boss
Q: What does the health score mean?
The health score is based on average student churn risk. Green = low risk, yellow = moderate, red = high risk of attrition.
Q: How do I delegate access to my team?
Go to Settings > Team Management. Select a team member and choose which dashboard pages they can access. This gives them view-only access to specific analytics without full admin privileges.
Q: How often does the data refresh?
Click the Refresh button on the dashboard to pull the latest data. Analytics are calculated from the most recent submissions and attendance records.
General Tips
- Dark mode — follows your system preference, or toggle it in settings.
- Mobile — all pages work on mobile. The sidebar collapses to icons on smaller screens.
- Keyboard navigation — Reamind supports keyboard navigation throughout.
- Notifications — check the notification icon for assignment reminders and grade updates. Connect Telegram for push notifications.
